Terms of use

The rules for organisations and authorised users accessing the HaulageHQ platform.

Last updated: 15 October 2026

1. About these terms

These terms apply when an organisation or authorised user accesses HaulageHQ. The organisation accepting a subscription, order or service agreement is the customer. Drivers, managers, administrators and other people given access are authorised users. If a signed order or service agreement conflicts with these terms, that agreement takes priority.

2. The service

HaulageHQ provides tools for driver onboarding, training, compliance evidence, daily checks, defects, maintenance, fleet records, route planning and related administration. Features may be changed, improved or withdrawn where reasonably necessary. Planned maintenance and urgent security work may temporarily affect availability.

3. Accounts and authorised use

Customers must provide accurate information, control access permissions and remove access promptly when it is no longer needed. Users must keep login details confidential, use only their own account and notify their administrator of suspected compromise. The service must not be used unlawfully, to access another organisation’s information, to introduce malicious code, to evade security controls or to overload the platform.

4. Customer responsibilities

The customer remains responsible for its operator licence, transport operation, employment decisions, driver fitness, vehicle roadworthiness, legal deadlines and the accuracy of records entered into HaulageHQ. It must review alerts, verify imported information, keep suitable backup or export records where its own procedures require them, and ensure users are properly trained.

5. Compliance information

HaulageHQ supports compliance management but does not provide legal, medical, accounting, transport manager or road safety advice. A dashboard status, reminder or automated calculation is an administrative aid and is not a guarantee of legal compliance. The customer must obtain professional advice for its circumstances and must not rely on the service where a safety critical decision requires independent verification.

6. Third-party and official data

The service may display information from Companies House, DVSA datasets and APIs, National Highways, TomTom, OpenStreetMap and other providers. Availability, accuracy and update timing are controlled by those providers. Route and parking information must be checked against road signs, restrictions, vehicle dimensions, site instructions and current conditions before use.

7. Customer content and personal data

The customer keeps ownership of information and documents it supplies. It gives HaulageHQ permission to host, copy, process and display that content only as needed to provide and secure the service. The customer must have a lawful basis for the personal information it enters and must give required privacy information to drivers and workers. Where HaulageHQ processes personal data for the customer, the parties must comply with applicable data protection requirements and any agreed data processing terms.

8. Intellectual property

HaulageHQ and its licensors own the platform, software, design, documentation, branding and standard content. Subject to payment and these terms, the customer receives a limited, non-exclusive, non-transferable right for its authorised users to use the service during the subscription. Users must not copy, resell, reverse engineer or create a competing service from protected parts of HaulageHQ except where the law expressly permits it.

9. Fees

Fees, billing periods, included usage and renewal arrangements are set out in the applicable order or service agreement. Unless stated otherwise, prices exclude VAT. Failure to pay undisputed fees may result in restricted or suspended access after reasonable notice.

10. Suspension and termination

Access may be suspended where reasonably necessary to protect security, prevent unlawful use, address material breach or non-payment, or comply with law. On termination, the customer should export information it is required to retain. Data will be deleted or returned in line with the applicable agreement, legal obligations and backup expiry periods.

11. Liability

Nothing in these terms excludes liability that cannot lawfully be excluded, including liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation. Subject to that, neither party is liable for indirect or consequential loss, loss of profit, revenue, business or anticipated savings. Unless an order states otherwise, HaulageHQ’s total liability arising in any 12-month period is limited to the fees paid or payable for the service in that period. These limits apply only to the extent permitted by law.

12. General

Neither party is responsible for delay caused by events outside its reasonable control. A failure to enforce a right is not a waiver. If part of these terms is unenforceable, the remainder continues. These terms are governed by the law of England and Wales, and its courts have exclusive jurisdiction unless the parties agree otherwise in writing.
